Event Requirement Summary:
There is a significant amount of planning necessary in preparation for an event. Following is a summary of our requirements and other items to expect. These are provided to help your event be successful and are general expectations. More specific details will be sent upon confirmation of event.
You will need to appoint an Event Coordinator who will be responsible for all aspects of the event.
Event Coordinator Responsibilities: -
Assemble a team of coordinators - facilities, hospitality, prayer, publicity, registration, resource table, and transportation - and ensure fulfillment of duties.
- Secure the event emcee and Q & A moderator
- Secure volunteers to distribute RTB Brochures, collect and return response cards and evaluation.
Facilities Coordinator
- Decide where the event will be held
- Coordinate room setup, including break-out session rooms
- Provide for technical needs including setup for PowerPoint presentations, microphones, recording (audio and video), sound checks and needs of other coordinators
Hospitality Coordinator
- Arrange for transportation and food for RTB staff during their stay
- Arrange for all food needed at the event - lunch, snacks, etc. (if applicable)
- Appoint an assistant for each speaker and provide a green room (quiet room)
Prayer Coordinator
- Secure at least six volunteers to pray daily and to meet twice a month for prayer
- Hold a prayer meeting the night before the conference
Publicity Coordinator
- Secure 3-5 volunteers to help with publicity
- Create awareness of the event through various avenues
Registration Coordinator
- Maintain a list of event registrations (if event is a paid event and/or conference)
- Secure 4-6 volunteers to set up and operate registration tables at the event
- Print and distribute handouts for participants (RTB will provide masters)
Resource Table Coordinator
- Decide the best place for table setup. We will need a minimum of 3 eight-foot tables which are to be ready for set up 2 hours prior to the event start
- Secure 4-6 volunteers to help with the table setup, sale of materials, and tear down
- Receive and review instructions for all aspects of operating the resource table
- Ship unused materials back to RTB
